Coaching Terms & Agreement Summary

Important: Before accepting recurring payments, have a North Carolina attorney review the full Coaching Agreement, automatic-renewal language, prepaid-service requirements, cancellation rights, refund provisions, liability waiver, youth terms, and facility arrangement. This summary does not replace a complete agreement.
Monthly Billing
Plans are billed monthly in advance and include 4, 8, or 12 in-person sessions during each monthly billing cycle. The listed session total controls the plan. A calendar month containing five occurrences of a normal training day does not automatically add another included session. Plans renew monthly until canceled according to the Coaching Agreement. No initiation fee is charged unless Dakota deliberately adds and clearly discloses one later.
Renewal & Cancellation
Clients may stop the next monthly renewal by providing written notice at least seven days before the next billing date. Canceling renewal does not ordinarily create a refund for the current billing cycle, except where required by law or stated in the signed agreement.
Clearly disclosed: the plan renews automatically, the billing interval, the cancellation method, the deadline for preventing the next charge, and any future change in price or terms.
Appointment Cancellations
Sessions canceled with at least 24 hours' notice may be rescheduled during the current billing cycle, subject to availability. Late cancellations and no-shows generally count as completed sessions. When a client provides timely notice but Dakota cannot offer a reasonable same-cycle make-up time, one session may carry into the following billing cycle.
Carried sessions expire 30 days after the original billing cycle, do not accumulate indefinitely, cannot be exchanged for cash, and remain subject to scheduling availability.
Coach Cancellations
A session canceled by Dakota will be rescheduled, carried forward, or credited appropriately. It will not be forfeited by the client.
Late Arrivals
Appointments begin and end at the scheduled times. A client arriving late receives the remainder of the reserved appointment. The session may be extended only at Dakota's discretion when no later commitment is affected.
Questions and Education
Questions are welcomed during appointments. When a topic requires substantial discussion, research, or review beyond the scheduled session, Dakota may address it through a follow-up message, the next scheduled check-in, the next coaching appointment, or a separately scheduled consultation.
Messaging
Messaging is intended for brief coaching questions, scheduling, readiness updates, limited feedback, and clarification of the assigned plan. Messages are reviewed during business days and are normally answered within one business day.
Messaging is not emergency support, medical care, unlimited consultation, an immediate-response service, or a substitute for an appointment.
Form Review
One form-review request equals up to two short video clips showing the same movement or exercise, accompanied by one focused question or request for feedback. Dakota may ask the client to submit a shorter clip, a different camera angle, or additional context. Unused reviews do not accumulate indefinitely.
Pauses
One planned pause of up to 30 days during each six-month period when requested with at least seven days' notice. Recurring appointment times may not remain available. The client may need to select a new schedule after returning. Medical, disability, military, or other legally protected circumstances will be handled according to the agreement and applicable law.
Facility and Travel Costs
Published coaching prices do not include a separate gym membership, guest pass, facility charge, field rental, admission fee, or travel charge unless the client's proposal expressly says otherwise. Dakota does not advertise a permanent training facility until a confirmed legal arrangement is in place.
Refunds and Statutory Rights
Do not attempt to replace a complete coaching agreement with website fine print. All cancellation and refund rights required by law are preserved. Have a North Carolina attorney review the full agreement before accepting recurring payments.
Session Duration
Appointments are scheduled for 60 minutes. Dakota may occasionally extend a session briefly when scheduling permits, but additional time is discretionary and is not included as a recurring plan benefit. The public service remains 60 minutes.
Assessment Fee
The Two-Hour Discovery & Assessment fee is $250 and is separate from monthly coaching. The assessment fee is not automatically credited toward the first month. Dakota may offer a temporary promotional credit without changing the standard policy.
Scope of Services
Dakota Hall provides fitness, movement, and athletic-development coaching. Services are educational and do not replace medical diagnosis, medical treatment, physical therapy, massage therapy, emergency care, or medical nutrition therapy. Dakota does not diagnose injuries, treat medical conditions, provide rehabilitation, cure pain, prevent injury, guarantee return to sport, or provide medical nutrition therapy.
Youth Terms
Youth coaching requires parent or guardian involvement, emergency-contact information, age-appropriate progressions, clear behavioral and attendance expectations, and appropriate facility and supervision arrangements. No guarantee of team selection, scholarships, injury prevention, or competitive outcomes is made.
